Credit notes that never found their subscriber
Unapplied credits inflate aged receivables stories and hide overbilling that was already acknowledged.
Failed payments, goodwill gestures, and corrected invoices all generate credit notes. In messy books those credits sit in a suspense account or against a generic “billing adjustment” customer while the original subscriber’s balance still looks overdue.
During recurring invoice reconciliation we age unapplied credits the same way we age open invoices. Credits older than sixty days with no subscriber tag are investigated first: they often pair with an overcharge that finance already agreed to fix. Clearing them reduces both the artificial AR balance and the customer’s frustration when collections calls continue.
A simple weekly control helps: no credit note leaves draft status without a subscriber ID that exists in the active billing export. If the ID is unknown, the credit stays with the clerk who created it until it is matched — not in a shared bucket that everyone assumes someone else owns.
